Under the direction of the Administrator, Dept. of Medicine, the Medical Administrative Assistant performs a variety of administrative duties. Responsibilities include: coordinating physician schedules and specialty screenings, utilizing the electronic medical record (EMR) to schedule follow up and specialty appointments and process patient charges; coordinating referrals; preparing the proper paperwork and collecting pertinent patient information; answering phones; performing other related duties as assigned. The Medical Administrative Assistant provides support to the office staff to provide optimum service to patients.


* Coordinates all Physician on-call schedules.

* Coordinates all Resident and Fellow rotations through Infectious Diseases.

* Monitors provider schedules to optimize appointment volumes.

* Performs secretarial, billing, clerical duties and other various assignments for the physicians and other professional staff.

* Utilizes the EMR for all follow-up patient care processing, including appointment scheduling for follow up, specialty and testing appointments; schedules patient appointments according to established guidelines and coordinates referrals to other hospital services and outside locations.

* Utilizes the EMR to accurately input patient demographic information; collects all pertinent patient information prior to the patient's appointment.

* Greets patients in a courteous and professional manner; prepares and collects the proper paperwork at the time of the patient's visit.

* Answers phones and accurately creates and distributes electronic messages in the EMR.

* Takes initiative to follow up with patients to reschedule missed or cancelled appointments.

* Performs administrative functions related to grant funded programs.

* Interacts with Professional Billing and health care providers for the purpose of acquiring accurate billing information.

* Scans information into the patient's EMR as needed.

* Positively interacts with the public for promoting patient satisfaction.

* Faxes prescription renewals, obtains laboratory results, referrals, authorizations, and pre-authorizations.

* Maintains physician expense accounts and calendars.

* Processes Physician reimbursement for travel expenses, licensure, memberships, etc.

* Orders supplies.

* Performs other related duties as assigned.

* H.S. diploma or equivalent with minimum of 2-3 years of administrative/secretarial experience in a hospital or physician office.

* Knowledge of MS Word and basic Excel.

* Bilingual English/Spanish.
