Summary: Is responsible for maintaining a well organized, detailed orientated, smooth running office while performing tasks summarized below.
Reports To: VP, Employee Relations & Administrative Services
Titles Supervised: None
1.Maintains all established departmental and facility policies, procedures and objectives. Keeps VP aware of all departmental events. Maintains high level of confidentially.
2.Provides clerical support including: drafting and typing of letters and other communications for individual departmental needs as required, data entry, departmental filing, creates reports as requested, notarizes documents as requested, provides bookkeeping/ billing and reconciliations as needed, sends faxes, answers phones, takes messages and relays information in a timely manner, orders supplies, opens and distributes mail, and maintains office equipment.
3. Provides excellent customer service, organization, direction and support services to Directors/Supervisors, residents, families, staff, visitors and vendors.
4.Inputs daily, weekly and monthly documentation of billing for Finance when requested.
5.Greets assists and directs residents and clients.
6.Handles and coordinates routine office matters independently.
7.Provides feedback, attends departmental meetings.
8.Other related duties as assigned.
Education: High School diploma
Experience: 3+ years of related experience
Ability to handle multiple tasks, special projects, demands and deadlines while providing excellent customer service. Attention to details and ability to maintain confidentially. Ability to communicate well at all levels within the organization, read, write, follow up and carry out instructions.
