Our growing company is seeking a smart, well-rounded Accounts Payable (AP) Coordinator to join our Finance department. This is an excellent opportunity to be part of a growing company where being a AP Coordinator is more than just a job!

The AP Coordinator will perform bookkeeping, clerical, and some administrative work related to the Accounts Payable system. The AP Coordinator will process, distribute and maintain invoices and check balances. They will also set up financial records, conduct financial forms processing and have frequent internal and external contacts using well-defined procedures.
  • Review invoices to ensure it has appropriate supporting documentation, the correct information and approvals prior to processing for payment.
  • Review each employee expense report, ensuring the documentation is submitted correctly and the expenses are within the Travel and Entertainment Policy guidelines.
  • Ensure items entered into AP system have correct GL and cost center codes.
  • Review daily banking reports ensuring all payments are recorded on a timely basis.
  • Set up new vendors ensuring all required paperwork and approvals are provided.
  • Prepare and process all refunds and voids.
  • Prepare vendor and/or Associate checks for mailings, including stamping the envelopes.
  • Prepare vendor ACH/Wire payments.
  • Maintain back-up files for research and reference, ensuring files are kept in good order.
  • Monitor Accounts Payable system to ensure payments are up to date.
  • Total, balance, and reconcile Accounts Payable.
  • Ensure the completeness and accuracy of data.
  • Respond to all vendor inquiries about payment status.
  • Assist in month end closings.
  • Assist with the preparation of 1099's.
  • Ad hoc projects as needed.

  • Bachelor's degree in accounting.
  • 3-5 years of accounts payable experience.
  • Proficient in Microsoft Office suite of products with strong proficiency with Excel.
  • Ability to type 60-65 wpm.
  • Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately.
  • Thorough knowledge of accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures.
  • Able to follow standard filing procedures.
  • Basic accounting principles knowledge.
  • Problem solving and documentation skills, research and resolution skills, data analysis and multi-tasking skills.
  • Ability to interact with employees and vendors in a professional manner.
  • Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness.
  • Strong work ethics.
  • Detail oriented and reliable.
  • Possess strong organizational and time management skills.
  • Ability to communicate effectively verbally and in writing.
  • Eligible to work in the U.S. now and in the future without sponsorship for employment visa status (e.g. H-1B visa status)
