Assistant Director, College Events Sarah Lawrence is a prestigious, coeducational liberal arts college that consistently ranks among the leading liberal arts colleges in the country. The College Events department is responsible for campus space management and providing strategic guidance for the majority of events hosted on campus. The Assistant Director is an integral member of this small, dynamic team and manages the planning and execution of events including but not limited to lectures, meetings, dinners, conferences, workshops and receptions. Reporting to the Senior Director of College Events and working with members of the college community and our neighbors, the experienced events professional will be a detail-oriented team player with a sense of humor, well-organized, proactive and responsive. College Events operates as a one-stop shop, which streamlines the event process for the client and results in better events for the institution. This fast-paced, hard-working department also administers on-campus rentals. Responsibilities: Responsible for meeting with campus clients and stakeholders to determine the planning, publicity and implementation of events on campus including but not limited to budget, message, logistics and target audience.Assist the Senior Director in creating and setting the strategic plan, budget and goals for the Office of College Events.Work closely with members of the College community to plan, strategize, discuss, implement and execute campus-wide events.The hiring, training, supervising and management of student personnel for two departments. Liaise with other departments including Food Service, Audio Visual, Facilities and Security to ensure proper set-up and execution of events.Contract with outside vendors and organizations as needed.Provide information to Communications staff for the marketing and publicity of campus events to the outside community.Create and develop effective campus communication.Use and improve room scheduling system.On-site supervision and implementation of all services to successfully carry out an event.Develop post-event surveys and tracking for on-campus events.Work within the allocated event budget.Represent College Events at meetings and events with professionalism and courtesy.Establish professional working relationships with various offices, vendors, services and constituent groups.Review and approve food invoices.Provide feedback and communicate needs and changes in a timely fashion.Acts as point of contact to incoming groups and events. Qualifications: Bachelor's degree4+ years of professional experience in the event/hospitality field or in a higher education settingExperience with audio visual equipment a plus but not a requirementSupervisory experience requiredProficient in Microsoft Office software, especially Word, Powerpoint, and ExcelFamiliarity with EMS or similar room management softwareExcellent written and verbal communication skillsExcellent problem solving and organizational skillsAbility to effectively manage own time and resourcesMust exercise diplomacy, collaboration and problem-solving abilitiesMust demonstrate professionalism, good judgment and strong interpersonal skillsAbility to resolve issues under pressure with calm demeanor and speedAbility to work in an extremely fast-paced environment, flexibility, and detail-orientedEvenings, weekends and holidays as required.
