We have an exciting opportunity to join our team as a Legal Assistant.

Position Summary:

This position is responsible for providing administrative support for attorneys in the Office of General Counsel.

Job Responsibilities:

Operates personal computer equipment; establishes priorities; sets up, types, and generates a variety of materials, legal documents and forms (e.g., memorandum, letters, contracts, proposals, and affidavits); edits and updates documents. Proofreads materials for clarity and grammar.
Maintains legal files and filing system and database. Performs disk maintenance and archiving functions.
Works with the attorneys to maintain a standard system of organization for the Legal departments legal files and organize the departments legal files using the standard system.
Answers telephones, screens calls and takes messages. Responds to mail, telephone, and in-person inquiries (e.g., provides information on NYU Langone Medical Center policies and procedure and status of projects); follows-up (e.g., drafts correspondence; mails requested materials); expedites resolution of problems.
Reviews software features and enhancements for personal computer equipment and advises on optimal methods of correct computer malfunctions.
Prepares standard forms of legal documentation; composes correspondence and memoranda in connection with existing client matters and administrative responsibilities.
Assists with assembling educational/research materials and legal document production (including exhibits, litigation backs, affidavits of service).
Prepares check requests and charge back memos; monitors and reviews invoices; maintains and updates information regarding vendors, charge back parties, account numbers, and classifications.
Maintains and prioritizes appointment calendar for assigned attorneys in the department and reserves conference rooms for meetings.
Coordinates arrangements for meetings, conferences and special events (e.g., drafts and distributes information materials, announcements and invitations; maintains record of responses; arranges for space, catering, travel and hotel accommodations) and prepares documents for meetings as required.
Registers attorneys for lectures/seminars/webinars as needed for compliance with their CLE requirements.
Maintains positive and professional relationships with other personnel throughout the Medical Center to facilitate cooperation in carrying out responsibilities.
Performs other duties as assigned.

Minimum Qualifications:

Must be a High School graduate or the equivalent.
Minimum of five years secretarial or administrative assistant experience.

Preferred Qualifications:

Minimum of two years college or equivalent and three years experience as legal secretary or administrative experience in an a legal office setting.

Qualified candidates must be able to effectively communicate with all levels of the organization.
