Brief Overview of Job Responsibilities:
* Enhances executive's effectiveness by providing logistics, scheduling, coordination, administrative, and communications support, teaming as appropriate with members of the executive's team and other EAs to solve problems and share best practices
* Provide general administrative support to executive and respective team
* May receive, screen, and sort according to priority all incoming email and keep executives and team apprised to key deadlines
* Organize on and off-site meetings and may assist managing client events
* Completes a broad variety of administrative tasks for executives and their teams, as appropriate

* Logistics, scheduling, & coordination
o Maintains executive's appointment schedule by planning and scheduling meetings, events, conferences and teleconferences across multiple time zones; sources offsite meeting locations as necessary while securing F&B and A/V needs
o Anticipates and coordinates executive's point-to-point travel needs, as well as team travel needs as appropriate including but not limited too group ground transportation and hotel blocks
o Effectively onboard and offboard employees and ensure that new hires have tools necessary to complete work functions (e.g. ordering laptops, office equipment/supplies, new hire/transfer paperwork, etc)
* Communication
o Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text and data
o Creatively produce PowerPoint presentations frequently as well as organize and analyze data in Excel
Practicality & effectiveness
* Maintains confidentiality across multiple segments including but not limited to customer information, business insight and employee personal information
* Manages a complex calendar with an understanding of business priorities to offer alternatives and make trade-offs
* Team contribution
o Maintains professional and technical knowledge by attending educational and training workshops
o Contributes to team effort by accomplishing parallel work as needed
o Adapts working style to best support the changing needs of executives and respective teams
* Administrative effectiveness
o Conserves executive's time by reading, researching, and routing correspondence and drafting/ editing emails and documents
o Processes and manages weekly attendance and payroll
o Reconciles monthly corporate card charges for immediate leader in a timely manner and may manage or approve respective team's expense reports; is well versed in expense policies and helps to ensure team stays within budget to support OPEX
Additional requirements:
* Proven experience providing support to C & D level executives
* Candidate must have the ability to work well in a dynamic and fast-paced organization, manage multiple tasks and conflicting priorities with little direction, and have ability to switch priorities mid-stream
* Requires a strong sense of integrity with ability to handle sensitive issues and maintain complete confidentiality
* Intermediate to advanced computer skills required, including experience with Microsoft Office products including, but not limited to PowerPoint, Excel, Word and Outlook
* Knowledge of eHR, XMS, Concur Expense & Travel, Ariba Buyer, AXIOM, SharePoint, LiveMeeting/WebEx/AdobeConnect, SalesForce
* Necessary skills include excellent written and verbal communication skills, flexibility, ability to work effectively on a team, Strong organizational skills, positive attitude, strategic thought leadership, ability to anticipate needs, seeks ways for region to run efficiently, and exudes professional maturity
