+ Performs diversified and confidential administrative duties requiring broad and comprehensive experience, skill, and knowledge of organization policies and practices
+ Screens telephone calls and visitors, and resolves routine and complex inquiries
+ Schedules meetings and travel itineraries and coordinates related arrangements
+ Manages an effective calendaring system for management staff, and looks for opportunities to enhance efficiencies
+ Makes last minute calendaring decisions based on priority and business needs using sound judgment
+ Prepares and distributes materials for meetings and following meeting minutes
+ Coordinates events for staff meetings, client meetings, and broker events\.
+ Maintains sales related event tracking logs
+ Assists sales staff with proposal production and PowerPoint presentations and various reporting needs
+ Plans and coordinates on\-boarding activities for new hires
+ Orders equipment and supplies using the portal supply system
+ Manages other facility related needs such as phone system changes, copier purchases, parking, as needed
+ Manages department c\-pay vendor payment activities, tracks c\-pay invoices
+ Works closely with peer assistants in a team environment



+ A minimum of 3 years of administrative assistant experience with progressive responsibility, sales environment preferred
+ High School Diploma required
+ Demonstrated experience exercising good judgment and ability to take initiative with a confident and professional demeanor
+ Excellent verbal and written communication skills with the ability to work independently and maintain confidential information
+ Strong sense of urgency and ability to work in a very high\-paced environment
+ Ability to manage multiple tasks
+ Ability to remain calm, composed, and focused in stressful situations
+ Demonstrate initiative to anticipate work flow needs and proactively plan accordinglyAdvanced technical skills in Microsoft Office
+ Strong trouble shooting and problem solving skills
