**External Job Description** Context/Scope:

High-level administrative support to include administrative and project-based duties that require independent decision-making capabilities and solid judgment. This position is privy to confidential information that requires diplomacy and discretion.

Purpose of Role:

Provide executive level administrative support to the Executive Vice President, HR as well as four other HR Leaders

Key Outputs:

+ Organizes and maintains calendars for HR Leaders. Schedules appointments, arranges business travel and maintains all travel and entertainment (T&E) per regulatory compliance policies.

+ Organizes meetings for HR Leaders, in-person, video or WebEx

+ Manages T&E Reporting and approval reviews in a timely and fully compliant manner

+ Partners with leadership to plan and schedule monthly team meetings while managing the logistics and budget for said events

+ Handles coordination of onboarding and moves within HR function

+ Oversees budget for any functional/department meetings as well as managing office supplies

+ Handles details of a confident nature and performs administrative functions based on understanding of Company policy, executive's views and philosophy, which can be assumed by this level of executive assistant

+ Prepares reports, summaries or replies to inquiries, selecting relevant information from a variety of sources

+ Anticipates and prepares materials needed by the Leaders for conferences, correspondence, appointments, meetings, telephone calls, etc...

+ Composes correspondence requiring knowledge of executive's views, philosophy, and some understanding of technical matters

+ Uses considerable judgment and initiative to determine the approach or action to take in non-routine situations

Qualifications & Experience Required:

+ Associate's Degree and or Technical Degree preferred

+ Minimum of 8 - 10+ years' experience in executive administrative capacity

+ High level of proficiency in all MS Office applications to include Excel, Word, PowerPoint, Concur and knowledge of SAP

+ Technology savvy: Using virtual and video technologies, Mosaic/Yammer

+ Ability to work with people and meeting logistics

+ Proven ability to interact confidentially and effectively with all levels of business partners both internally and externally

+ Highly organized with a proven track record of managing complex projects through to successful completion

+ Demonstrate ability to multi-task, strong interpersonal skills and organizational skills

+ Demonstrate professionalism, strong attention to detail and ability to be discrete

+ Proven written and verbal communication skills
