The Provider Recruitment Associate supports the growth of Hartford HealthCare by providing administrative support to the Department of Provider Recruitment and Integration. Assists with logistics related to physician and advanced practitioner recruitment and retention. Expertly and professionally represents the Provider Recruitment and Integration Department in all interactions to organize provider interviews and ensure that candidates and internal customers are kept well informed of interview details.


* Assists physician recruiters with the facilitation of site visits for provider candidates. This may include but is not limited to arranging complicated, multi-party interview schedules, securing meeting space, arranging travel, lodging, meals, real estate tours and other visit activities.

* Establishes strong, collaborative working relationships with administrative support peers, HR departments and practice managers across the system to efficiently plan and coordinate itineraries.

* Ensures that recruiters are informed of scheduling progress and obstacles.

* Manages candidate reimbursement process for incidental expenses incurred by candidate or spouse during interview and hire process.

* Arranges for and tracks hire and other recruitment related bonuses.

* Prepares collateral materials for candidates as directed by recruiters.

* Provides candidate sourcing support including internet research, candidate mailing list ordering, and preparing and sending direct mail and email communications as directed by the recruiters.

* May assist with database searches and internet research.

* Assists with marketing campaigns as needed.

* Maintains Open Position, expense tracking, recruitment calendar, Hire/Term and other reports.

* Schedules performance management meetings, exit interviews and other activities related to physician retention and turnover.

* Arranges travel, packs and ships collateral materials, and submits and tracks expenses for recruiter travel to career and other events.

* Tracks charges and maintains and delivers reports on the provider recruitment budget to the Director. Manages costs effectively, audits and submits expenses promptly for approval and payment.

* Assists in the design, order, stocking of provider recruitment collateral material, packets, and brochures, as needed.

* Assists Onboard Coordinator with arrangements related to onboard visits for house hunting during the onboard process and with physician relocation as needed. May assist with onboarding scheduling.

* Maintains all provider immigration documentation. May provide support for visa process.

* Produces offer letters and contracts, tracks contract progress and enters all contracts and Fair Market Value documentation in Meditract system.

* Works with Provider Recruitment and DART to continually examine and improve processes, procedures, policies and techniques to support recruitment and attainment.

* Other duties and responsibilities as assigned.

* Minimum of three years of administrative support experience with significant interaction with executives, other leaders and providers.

* Highly organized and customer focused.

* Demonstrate a high degree of accuracy, attention to detail and sense of urgency.

* Excellent interpersonal skills with the ability to engage at all levels of the organization.

* Demonstrate a professional and adaptable demeanor with internal and external clients, including administrators, providers, peers, and support staff.

* Exhibit a high energy level, and the ability to work within and in support of a team, with flexibility in work habits to schedule and meet the needs of candidates and customers.

* The ability to multi-task, planning and prioritizing a large volume of detail-oriented work in accordance with changing deadlines.

* The ability to work effectively with minimal supervision and multiple priorities.

* Strong computer technology skills including, but not limited to Microsoft Outlook, Microsoft Word, Excel, and PowerPoint.
